Document Capture

Easily bridge the gap between paper and digital documents with Document Capture technology. These solutions read data off of scanned documents. This data is used to automatically file and distribute the documents.


What it Does

Many people are concerned about the time and effort involved to organize scanned documents. Document Capture technology automates this process. With the push of a button, the scanned document is stored and indexed. The net result is streamlined workflows, leading to productivity improvements.

Zone OCR
Optical Character Recognition (OCR) converts scanned text into editable text. Zone OCR looks at pre-defined areas of the scan to extract information. For example, the customer number, customer name, and total amount are always in the same place on your invoice. When the invoice is scanned, Zone OCR technology captures this information and uses it to automatically file the document for later retrieval.

Database Integration
Chances are all of your customer information is stored in a database managed by your accounting application. With Database Integration we can pull indexing information from your existing database. For example, Zone OCR would be used to read an invoice number. The system would look up the invoice number in your accounting application and then pull back the customer name and order type as a field to index the scanned document.

Barcode Recognition
Capture technologies can read barcodes. The information in the barcodes is used to automatically file the document. Don’t have barcodes on your documents? Not a problem. Our Electronic Forms technology can convert any number on your forms into a barcode.

Centralized and Distributed Scanning

There are two strategies to capture paper documents:
centralized and distributed. In the centralized scanning model, documents are sent to a central area to be scanned. High-volume dedicated production scanners are typically used for this purpose. A distributed scanning model deploys scanning devices to departments or desktops to capture them at their point of creation. This is often accomplished with scan features on multifunction systems.
